Budget reports give you a snapshot of how NDIS funding is being spent across your participants — by participant, by support category, or across your whole caseload.

Steps

Go to Reports → Finance

Click Reports in the sidebar, then Finance.

Select Budget Utilisation

Choose Budget Utilisation from the report type list.

Set your filters

  • Plan period — the plan year or PACE period you want to report on
  • Participant — all participants or a specific person
  • Support category — all categories or a specific one

Generate and download

Click Generate Report, then download as PDF or CSV.

What’s in a budget report

For each participant and support category:
  • Allocated amount
  • Approved (not yet invoiced)
  • Invoiced (sent to plan manager or ready for PRODA)
  • Submitted (PRODA claims lodged)
  • Remaining
  • Utilisation percentage
  • Plan health status
The Budget Forecast table (Finance → Budget Forecast) is a faster way to get a real-time utilisation snapshot across all participants. Use the budget report when you need a formal document to file or share.

When to use budget reports vs. the forecast table

Use the Budget Forecast table (Finance → Budget Forecast) when:
  • You need a real-time snapshot across all participants
  • You’re doing a quick weekly or daily check of caseload health
  • You want to sort and filter interactively
Use the Budget Report (Reports → Finance → Budget Utilisation) when:
  • You need a formal document to file or share with your manager
  • You need to send utilisation information to a participant or their plan manager
  • You’re preparing evidence for an NDIS planning meeting
  • You need to export data for your accounting system
Both pull from the same underlying data. The difference is format and purpose — the forecast table is a live dashboard; the budget report is a dated, formatted document.
