Go to Providers in the sidebar

Click Providers (or Directory depending on your sidebar layout) to open the provider list.

Click Add Provider

Click Add Provider in the top-right corner.

Enter provider details

Fill in:
  • Organisation name
  • ABN — the provider’s Australian Business Number
  • NDIS registration number (if they’re a registered NDIS provider)
  • Contact name, phone, and email — your main point of contact at this organisation
  • Service categories — the NDIS support categories this provider delivers
  • Address and suburb — used for location-based matching

Save

Click Save. The provider appears in the directory and can be linked to participants.

Linking a provider to a participant

Once a provider is in the directory:
  1. Open the participant profile and go to the Providers tab
  2. Click Link Provider
  3. Search for and select the provider
  4. Choose the support category this provider delivers for this participant
If a provider serves many of your participants, you only need to add them to the directory once. Link them individually to each participant from the Providers tab on the participant’s profile.
What if the provider isn’t NDIS registered? Unregistered providers can still be added to the CoordHub directory. Leave the NDIS Registration Number field blank. Note: for NDIA-managed participants, supports can only be delivered by registered providers. For plan-managed or self-managed participants, unregistered providers may be used. If you’re linking an unregistered provider to an NDIA-managed participant’s record, document the reason.Can one provider be linked to multiple participants? Yes — add the provider once to the directory, then link them to as many participants as needed from each participant’s Providers tab. The provider record is shared; the participant link is individual.What if two organisations have the same or similar name? Add both as separate provider records and use the ABN field to distinguish them — ABNs are unique identifiers for Australian businesses. Add a note in the provider record (e.g. “[Organisation name] — [suburb] branch”) to make them easier to tell apart.
