CoordHub is practice management software designed specifically for NDIS Support Coordinators. It replaces spreadsheets, shared drives, and disconnected tools with a single platform that covers everything from participant onboarding through to invoicing and compliance reporting. In a typical coordination practice, information about each participant is scattered across email threads, shared drives, and separate billing systems. Every month-end involves manually reconciling activities, looking up support item codes, and re-entering data into a billing system. CoordHub connects all of these workflows — a case note you write when logging an activity becomes part of the audit trail, the billing record, and the NDIA progress report, all at once.

Who uses CoordHub

CoordHub is designed for Support Coordinators and Specialist Support Coordinators working in Australian NDIS registered organisations. Your access level depends on your role:
  • Coordinators — manage their own assigned caseload, log activities, write case notes, and work with participants day to day
  • Administrators — have organisation-wide visibility, approve activities, manage invoicing and billing, and control settings
  • Owners — the same as Admin plus organisation-level settings that can’t be changed by administrators
If you’re a sole coordinator and the owner of your organisation, you’ll have access to everything.

How CoordHub fits into your work

CoordHub connects your participant records to your billing so there’s no manual data re-entry. An activity you log for a participant flows directly into invoice creation, NDIS claims, and budget tracking — all linked to the correct support category and funding period automatically. For example: you log a 1.5-hour Support Coordination session for a participant on a Monday. By the end of the month, that activity is:
  • Part of the participant’s activity history with your case note attached
  • Counted in their Category 07 budget utilisation
  • Available for the month-end batch invoice
  • Included in the PRODA export when you submit claims to the NDIA
  • Reflected in any NDIA progress report you generate
